Executive Assistant (Remote, Part-Time)

We’re seeking a highly organized, proactive Executive Assistant to support a high-functioning and busy CEO. This role is ideal for someone who thrives on bringing order, anticipates needs before they’re voiced, and takes pride in doing the small things exceptionally well. Role Executive Assistant Location • Remote, Eastern Time Zone preferred • Pay • $30-38 based on experience • Schedule • Part-Time, 15 hours/week Monday-Friday, Flexible, with preferences noted below • What You’ll Do • You’ll be the administrative backbone behind the scenes of Helpwell Co. Client, Epic Rivers Leadership, directly supporting the CEO – to ensure everything runs smoothly day to day. Workload and expectations are designed to fit within a 10–15 hour/week structure. Responsibilities include • Manage inbox (Outlook) triage, organize, and respond to emails 2x daily (Mon–Fri) using an established system • Manage calendar (Outlook) schedule meetings, confirm attendance, block travel/transition time, and ensure accuracy across all events • Book and coordinate travel arrangements • Organize and submit expense reports • Track coaching clients and key activities in Trello, ensuring sessions are scheduled, notes are current, and follow-ups are completed • Coordinate client communication and follow-ups, ensuring coaching clients stay engaged, scheduled, and informed • Coordinate and organize AI-generated summaries from stakeholder interviews • Support special projects (e.g., conference applications, setting up emails in GoDaddy, one-off operational tasks) • Maintain and manage systems (email inbox, Trello, calendar) to ensure accuracy, organization, and follow-through • Proactively track open loops, follow up on outstanding items, and ensure nothing falls through the cracks • Provide light support to Chief of Staff and Director of Operations as needed • What We’re Looking For • Exceptionally detail-oriented — you catch what others miss • Tech-savvy and quick to learn new tools (Outlook, Trello, etc.) • Strong written communication skills • Proactive, resourceful, and solution-oriented • Comfortable working independently and managing multiple priorities • Enjoys administrative work and takes pride in doing it well • Values discretion, professionalism, and follow-through • Experience & Qualifications • Prior experience supporting an executive, founder, or leadership team • Strong proficiency with core tools (Outlook, calendar management, email organization) • Experience managing calendars and inboxes for busy professionals with multiple priorities • Comfortable coordinating logistics such as travel, scheduling, and expense tracking • Experience working in a remote environment and managing your own time effectively • Proven ability to handle confidential information with discretion • Experience with tools like Trello or similar project management systems preferred • Attention to detail matters in this role.
