Please note that if experience or skills do not meet our company’s mandatory requirements, the stated salary range may not apply or may be subject to adjustment. ***</p><p>Benefit: Medical, Dental, Vision (100% covered by employer), PTO, 401(k) (5% matching), others</p><p>Work Arrangement: 4x in office per week/ Mon-Fri -Employees are required to work on‑site during the initial 90‑day introductory period.</p><p><br></p><p><br></p><p>General Position Summary</p><p>This position is responsible for a variety of office administration functions including accounting and payroll support, day-to- day office management and reception, shipping/receiving, human resources, purchasing, and sales and service support in both US and German branch offices.</p><p><br></p><p>Essential Job Functions</p><p><br></p><p>Human Resources:</p><p>• Administers and maintains records of the Company’s benefit program including 401k plan, medical/dental insurance, disability insurance, life insurance, paid time off, etc.</p><p>• Administers human resources program including compensation, performance management, training, recruiting and hiring, and disciplinary and termination.</p><p>• Reviews and ensures accurate payrolls with Paychex Payroll Systems</p><p>• Advises management in appropriate resolution of employee relations issues.</p><p>• Represents the Company at personnel-related hearings and investigations.</p><p>• Handles employees’ inquiries in regards to the Company’s policies, procedures; investigates employee complaints.</p><p>• Assists design and execute human resources policies and procedures.</p><p>• Coordinates immigration matters for both US and German branch employees.</p><p>• Prepares and files various reports and taxes related to employment; ensures timely filing.</p><p>• Communicates with Japan team, and assists background screenings and registrations for Field Service Engineers to obtain customer’s ID badges.</p><p>• Assist Engineering Department for Field Service Engineers Weekly Report filing, OT calculations, work hours calculations and makes reports.</p><p>• Assist Engineering Department for Field Service Engineers Vacation and Sick Leave filing, scheduling and reporting.</p><p>• Identifies legal requirement and government reporting regulations and ensures policies, procedures, and reporting are in compliance.</p><p><br></p><p>Office Administration:</p><p>• Studies and implements policies and procedures in order to improve the effectiveness and efficiency of workflow and reporting procedures.</p><p>• Assists Engineering Department with parts pricing, parts lists, parts usage report and service history report.</p><p>• Assists Engineering Department with service report filing.</p><p>• Assists the installation and maintenance of new accounting, timekeeping, payroll, inventory, logistics, human resources, facility, and other related procedures and controls.</p><p>• Assists services such as computer and office equipment maintenance and repair, supplies, mail, data storage and files.</p><p>• Assists to renew contracts with corporate service agencies, such as insurances, benefits, vehicles, investment, etc.</p><p>• Prepares and files statements and reports for government and insurance agencies as required.</p><p>• Makes various reports and enters data into accounting systems.</p><p>• Identifies administrative needs and develops appropriate solutions or recommendations.</p><p>• Coordinates activities of various departments or workers within the Company.</p><p>• Interprets and applies laws, rules, and regulations applicable to the organization.</p><p>• Assist to consult with appropriate corporate attorneys to obtain recommendations.</p><p>• Identifies legal requirement and government reporting regulations and ensures policies, procedures, and reporting are in compliance.</p><p><br></p><p>Procurement/Logistics:</p><p>• Assists to ensure accurate, smooth and efficient procurement and delivery of products and parts by overseeing staff who are engaged with activities including import/export, shipping documentations, customs, brokers, government agencies and shipping companies.</p><p>• Receiving and sending packages, import and export shipments.</p><p>• Assists to review and manages purchasing agreements.</p><p>• Assists to maintain inventory of the parts</p><p>• Assists to communicate with Japan team in regards to product availability and complaints.</p><p><br></p><p>Other & Miscellaneous</p><p>• Seeks constant improvement, more efficient and less expensive ways and means in work processes.</p><p>• Performs other duties and projects as assigned by Company management.</p><p>• Maintains high ethical standards in the work place.</p><p>• Reports all irregular issues and problems to management for solution.</p><p>• Maintains good communication with supervisors, other staff members, customers and others.</p><p>• Complies with all company policies and procedures.</p><p>• Responsible for maintaining a clean and safe working area</p><p><br></p><p>Qualifications</p><p><br></p><p>Education & Work Experience:</p><p>• Bachelor’s degree (B.A.) from a four-year college or university or equivalent combination of education and experience.</p><p><br></p><p>Tools & Equipment</p><p>• General office equipment including phones, personal computer, email, fax, copier, etc.</p><p>• Software includes the use of Windows operating system & MS Office.</p><p><br></p><p>Certificates / Licenses</p><p>• none</p><p><br></p><p>Supervisory Responsibilities</p><p>• None</p>
