Receptionist/Office Assistant

Summary/Objective

The Receptionist/Office Assistant will be performing general office support under the guidance of the Office Manager.

Essential Functions

  • Welcomes visitors in a warm and friendly manner and directs them appropriately.
  • Notifies company personnel of visitor arrival
  • Keeps detailed and accurate records of visitor requests and of calls received.
  • Maintains reception/front desk area and all common areas in a clean and tidy manner at all times.
  • Take inventory of office supplies and restocks as needed.
  • Receive employment applications and maintain them in an organized and confidential manner per HR guidelines
  • Provides administrative support to Accounting department with filing, cartridge recycling, and audit stamp inventory.
  • Performs other administrative duties as needed.
  • Support other HR-related administrative tasks as needed

Required Skills/Abilities:

  • Must be bilingual in English and Spanish (fluent).
  • Excellent organizational skills and attention to detail.
  • Ability to operate general office equipment.
  • Excellent written and verbal communication skills in both English and Spanish.
  • Efficient in typing
  • Proficient in Microsoft Office Suite or similar software.
  • Ability to maintain confidential information.

Supervisory Responsibility

This position has no direct supervisory responsibilities.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms.

This position requires the ability to occasionally lift office products and supplies, up to 20 pounds.

Position Type and Expected Hours of Work

This is a full-time position, and hours of work and days are Monday through Friday, 8:00 a.m. to 5:00 p.m.

Travel

No travel is expected for this position.

Required Education and Experience

High school diploma or GED, or equivalent years of experience.

Additional Eligibility Qualifications

Must be able to get background check and drug test.
