About the Role We're seeking an experienced Administrative Assistant to join our team on a full-time, remote basis. As an Administrative Assistant, you'll play a critical role in supporting our senior leaders and teams, providing administrative assistance, and ensuring the smooth operation of our business. Key Responsibilities Complete complex administrative tasks, including scheduling, tracking, and analyzing budgets, researching data to answer questions, updating databases, creating monthly reports or analyses, and coordinating large volumes of material. Create and type general correspondence, including updates and messages. Prepare diagrams, tables, charts, and other display material. Edit copy for spelling, grammar, and style, and make suitable changes. Coordinate space and office moves and arrangements for new partners, including obtaining necessary computer hardware, phones, file organizers, and other office supplies. Maintain regular and consistent attendance and reliability. Coordinate and schedule small, complex meetings, business travel, meetings, and departmental activities. May take meeting minutes, arrange for multimedia equipment, and set up meeting facilities. Maintain administrative or departmental schedules. Perform general administrative tasks, including coordinating and maintaining filing systems, handling administrative paperwork and cost reports, prioritizing, delivering, and following up on mail, and taking telephone messages. Provide advanced administrative support to multiple executives. Serve as a primary resource for the business unit or department. Answer questions, direct requests to appropriate partners, and work with other partners to exchange information. May act as a host and facilitator for meetings and escort visitors. Essential Qualifications To be successful in this role, you'll need: A Bachelor's degree from an accredited institution. The ability to communicate clearly and concisely, both orally and in writing. The ability to work independently with minimal supervision. The ability to provide excellent customer service. Proficiency in Microsoft Word, Excel, Access, PowerPoint, and Outlook. Advanced knowledge of office procedures and general office equipment. The ability to build relationships and work collaboratively with others. The ability to make suggestions on changes in policy, ideas, and the design of solutions as a member of a team. The ability to establish boundaries, meet time constraints, and manage multiple projects in a fast-paced, changing environment. The ability to handle confidential and sensitive information. Preferred Qualifications While not required, the following qualifications are preferred: Previous experience as an Administrative Assistant or in a similar role.
