Job Summary

We are looking for a highly organized Executive Assistant to support senior leadership in a fast-paced remote environment. This role is ideal for someone with strong administrative, communication, and project coordination skills who enjoys helping executives stay organized, efficient, and focused on high-level priorities.

The ideal candidate has experience in remote executive support, calendar management, travel coordination, and cross-team communication, and thrives in a detail-oriented, proactive role.

Key Responsibilities

  • Manage and organize executive calendars, meetings, and appointments.
  • Coordinate internal and external meetings, including preparing agendas and meeting notes.
  • Handle email inbox management and respond to routine correspondence on behalf of executives.
  • Arrange travel bookings, itineraries, and accommodation when required.
  • Assist with project coordination and follow-ups across teams.
  • Prepare reports, presentations, and documents for executive meetings.
  • Maintain confidential records and sensitive company information.
  • Support operational and administrative processes to ensure smooth day-to-day executive workflow.
  • Assist with CRM updates, task tracking, and internal systems where necessary.
  • 2+ years of experience as an Executive Assistant, Virtual Assistant, or Administrative Assistant.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Experience managing calendars and coordinating meetings across time zones.
  • Proficiency with tools such as Google Workspace, Microsoft Office, Slack, Zoom, and project management platforms (Asana, Notion, Trello, or similar).
  • Ability to work independently in a fully remote environment.
  • High attention to detail and strong problem-solving skills.
  • Professional discretion when handling confidential information.
