Sales Admin Assistant

Basic Job Purpose

  • Provide sales coordination and order processing to support Sales & Marketing
  • Coordinate with warehouse and purchasing department as to ensure goods are delivered on time.
  • Monitor inventory record and stock level Source the most effective & efficient means of transport.

Duties and Responsibilities

  • Daily key in of Sales Order (SO), Cash Sales Bill (CSB) and Delivery Order (DO) into LMS system
  • Prepare monthly statement of accounts and arrange postal service for document to be sent to customers
  • To monitor the usage of company Shell card and keep track the record properly
  • Control of Delivery Order stock and make requisition for purchase if deemed necessary
  • To ensure accuracy of product pricing in Delivery Order (DO) before entering into the system
  • To generate monthly cylinder rental statements, accounts statements and sales invoices for signatory arrangement.
  • Handle customer’s enquiry and complains regards to the invoices
  • Assist in data collation on data entry error and cylinder problem occurrences
  • Verify outgoing items on trucks against the Delivery Order (DO)
  • Verify incoming cylinders (NOP/SOP/COP cylinders) against ECR (Empty Cylinder Receipt), ROC (Receipt of Cylinder), client’s DO (Delivery Order)
  • Maintain proper filing for easy retrieval
  • Perform other related duties incidental to the work described herein

Qualifications & Skills

  • Minimum SPM in any discipline.
  • Minimum 1 year of working experience in the same capacity, preferably in related field.
