Senior Associate, Operations Admin Support

What You'll Do:

  • To coordinate and manage day-to-day operational activities, ensuring smooth workflow and efficient processes to achieve key performance targets of Operations Division.
  • Plan and arrange travel itineraries, accommodations, and transportation for Operations Division as needed.
  • Organize and coordinate Operation Division events, meetings, and conferences, including logistics, catering, and materials preparation.
  • Liaise with the office administration team to facilitate repairs and maintenance of damaged office equipment and facilities.
  • Collaborate with HR and hiring managers to initiate & facilitate hiring process for new employees.
  • Coordinate IT access and workstation setup, as well as provide necessary stationery and resources for new joiners.
  • Provide general support to Operations Division visitors, if any.
  • Developing, reviewing, and improving administrative systems, policies, and procedures when is necessary.
  • Must be very organized and detail-oriented, as they will be responsible for managing the operation, records, and reports.
  • Collaborate with the finance & procurement department to manage payment requisitions, purchase requisitions, issue purchase orders, and reconcile records related to requests for approval (RFA) including billings & invoices to partners.
  • Assist in preparation of month-end accruals for department expenses, ensuring accurate financial reporting & reconciliation.
  • Strong communication skills are needed, as they must be able to correspond with potential and current internal and external party.
  • To ensure all the files and documents is filed and kept properly for future audit purposes.
  • To perform any duties assigned by the management from time to time.
  • Always on standby mode to assist on ad-hoc project from time to time.
  • Provide high-level administrative support to the head of operations, including calendar management, travel arrangements (ie. Visa, transport arrangement, accommodation etc), and meeting coordination.
  • Handling Head of Operation expenditure claims and collating and filing expenses.
  • Handling Head of Operation’s personal matters, if any.
  • Prepare and edit correspondence, reports, presentations, and other documents as required.
  • Act as a liaison between the COO and internal/external stakeholders, maintaining professionalism and confidentiality.
  • Assist on ad-hoc assignment, if any.
Job Requirements:
  • Candidate must possess at least Diploma, Advanced Diploma or Bachelor’s Degree in any field.
  • Required language: English, Bahasa Malaysia and Mandarin is added advantage.
  • Strong organizational skills with the ability to multitask and prioritize effectively.
  • Extremely responsible and committed attitude.
  • Candidate must have at least 3-5 years of working experience in operations.
  • Meticulous, focused on problem solving and able to interact with the team members and partners to achieve goals.
  • Ability to work under tight deadline.
  • Proficient user of MS Office (MS Excel in particular).
  • Problem-solving & Positive attitude.
  • Able to multitask efficiently.
