As a Senior Marketing Operations Specialist, you will be responsible for overseeing the governance, execution, and continuous improvement of the Promotional Review & Approval process across the division. The role requires deep expertise in ad promotion review within medical devices, as well as the ability to influence senior stakeholders, drive process transformation, and implement scalable systems and tools that enhance compliance, speed, and operational efficiency. This is a key role within the Global Strategic Marketing (GSM) Marketing Operations organization. This is an onsite opportunity in Alameda, CA.

Responsibilities

  • Manage the end‑to‑end review and approval process for promotional materials in Veeva Promo Mats, ensuring timely and compliant routing through the electronic review system.
  • Support the Center of Excellence by applying established MLR processes, policies, and best practices consistently across teams and markets.
  • Monitor electronic review cycles, track progress against timelines, and flag potential delays or issues that may impact approvals.
  • Collaborate closely with Regulatory, Medical, Legal, Marketing, and agency partners to maintain alignment, clarify requirements, and support efficient review workflows.
  • Review submission packages to confirm they meet required quality and compliance standards prior to circulation.
  • Assist with issue resolution and escalations by gathering details, coordinating with stakeholders, and helping maintain workflow continuity.
  • Support planning, scheduling, and execution of Live Review meetings, including preparing agendas, managing calendars, organizing expedited reviews, and documenting decisions and outcomes.
  • Communicate post‑review feedback, decisions, and required next steps clearly to all stakeholders.
  • Work with Marketing and cross‑functional teams to help ensure promotional assets progress efficiently through the review process while maintaining compliance.
  • Track approval metrics and contribute to reporting that supports visibility and informed decision‑making.
  • Assist Marketing and Regulatory teams with review coordination related to product launches, new indications, and labeling updates.
  • Contribute to prioritization and capacity planning efforts to help align review activities with business needs and timelines.
  • Provide training and guidance to marketers, agencies, and reviewers on MLR processes, system use, and operational best practices.
  • Participate in initiatives focused on process improvements, digital enablement, and operational efficiencies.
  • Support global alignment by contributing to divisional MLR processes, enhancements, and digital review solutions.

Requirements

  • Bachelor’s degree or equivalent combination of education and relevant work experience.
  • 5+ years of relevant project management experience.
  • Direct experience and knowledge of Veeva Promo Mats, system, tools and capabilities within a regulated industry including extensive knowledge on how the tool supports the MLR review and approval process.
  • Strong understanding of project planning methods and hands‑on experience with project management tools.
  • Demonstrated ability to build trust with stakeholders, collaborate effectively across teams, adapt to ambiguity, and navigate challenging conversations professionally.
  • Strong influencing and relationship‑building skills.
  • Solid business and technical acumen with the ability to learn new systems quickly.
  • Excellent verbal and written communication skills with the ability to convey information clearly at all levels of the organization.
