Job Summary The Site Administrator is responsible for providing administrative support to the project/site team and assisting in basic document control functions to ensure smooth site operations and proper document handling.

Key Responsibilities

  • Provide administrative and clerical support for daily site operations.
  • Assist in handling and maintaining project documentation, including incoming/outgoing correspondence, drawings, and submissions.
  • Ensure proper filing, indexing, and record-keeping of project documents for traceability and easy retrieval.
  • Support the distribution of drawings and controlled documents to site personnel and relevant stakeholders.
  • Assist in maintaining document registers and tracking logs in line with project requirements.
  • Support QA/QC team in documentation matters, including preparation and compilation of project records.
  • Assist in the compilation and organization of final project documentation for handover to client.
  • Coordinate site meetings, including scheduling and preparation of basic documentation (e.g. minutes, attendance).
  • Manage site office administration, including control of stationery, pantry supplies, and coordination of cleaning services.
  • Arrange and dispatch documents to clients, HQ, and external parties as instructed by the Project Manager and QA/QC personnel.
Min. Requirements:
  • SPM or STPM or Diploma or Degree in any disciplines.
  • Computer related skills such as MS WORD / EXCEL / POWER POINT and etc.
  • Good communication skills in English both Verbal and Written.
  • Good reporting skills.
  • Willingness to learn and work in a multicultural environment.
  • A minimum of 3 years of Experience in Document / Record Management.
  • Willing to be based at Klang Selangor and subsequently to Penang project site.
