Small Team Transaction Coordinator + Virtual Assistant (Remote, Part-Time)About the Role The Loren Hall Group is a boutique real estate team serving buyers and sellers across Dallas–Fort Worth. We’re looking for a proactive, highly organized assistant to help manage our day-to-day operations and transaction coordination. This is a part-time, remote position ideal for someone who loves systems, communication, and keeping details on track behind the scenes. You’ll be the first point of contact for new inquiries, help maintain smooth communication with clients and vendors, and support the team through every stage of the real estate process — from lead intake to closing. What You’ll Do • Manage transaction files track deadlines, coordinate signatures, and communicate with clients, title, and lenders to ensure seamless closings. • Monitor and respond to inbound communication (calls, texts, emails, and DMs) promptly during business hours. • Maintain CRM data log new leads, update contact info, tag clients, and monitor pipelines. • Qualify and route new leads to the appropriate team member. • Prepare and send weekly client updates and milestone reminders. • Schedule showings, inspections, and vendor appointments as needed. • Oversee listing coordination — uploading listings, tracking expenses, and managing photos, remarks, and vendor scheduling. • Coordinate client gifting for birthdays, home anniversaries, and closings. • Keep internal systems (Google Drive, Compass CRM, Monday.com) organized and up to date. • Assist with administrative projects, spreadsheets, and data tracking as assigned. • Provide occasional weekend support (1–2 hours as needed). Who You Are • Highly organized, dependable, and detail-oriented. • A strong communicator — warm, professional, and clear. • Comfortable managing multiple tasks and priorities. • Tech-savvy (Google Workspace, DocuSign, Canva, Compass CRM, or similar tools). • Self-motivated and comfortable working independently with minimal supervision. • Prior experience in real estate, transaction coordination, or administrative support is strongly preferred. Hours + Compensation • Part-time, remote (approx. 15–20 hours/week, flexible schedule). • Occasional short weekend tasks as needed. • Compensation $250/week, paid every Friday • Pay may increase during busy seasons based on workload and performance.
