Our Talent Acquisition team sits at the intersection of mission and momentum. This role will focus on mainly supporting our Tech, Product and Creative functions to build the teams that bring Headspace's mental health mission to life.

This temp role is designed for a coordinator who has honed the operational foundations of coordination and is actively building their sourcing skills. You'll provide essential scheduling and coordination support to our Tech TA function while owning real sourcing work, including building pipelines, running outreach campaigns, and becoming a genuine partner to our recruiters. You'll report to our Lead Technical Recruiter and collaborate daily with the Director, Talent Acquisition, hiring managers, and the broader TA/People team.

This is a 3-month, US-based, remote Temp role with an expected schedule of 40 hours per week.

What you will do:

  • Own end-to-end interview scheduling for a high-volume Tech TA portfolio, navigating complex calendars and competing priorities with precision and grace: finding creative solutions when the "impossible" schedule is the only option.
  • Manage candidate communications throughout the interview lifecycle, ensuring every touchpoint reflects Headspace's commitment to an exceptional candidate experience.
  • Serve as the day-of contact for virtual interviews via Zoom, ensuring that interviews occur seamlessly
  • Maintain thorough Applicant Tracking System (ATS) hygiene in Greenhouse to ensure stakeholders have visibility into a candidate’s status, inbound applications are managed, and roles are set up effectively.
  • Partner with Tech TA recruiters to execute active sourcing campaigns: build Boolean search strings, identify and engage passive candidates via LinkedIn Recruiter and other tools, leverage talent rediscovery in our ATS, and contribute to pipeline development for open and anticipated roles.
  • Develop a foundational understanding of sourcing campaign build-out, including channel selection, outreach sequencing, response rate tracking, and iteration based on results.
  • Leverage and adopt AI-powered recruiting tools and automation opportunities to improve sourcing efficiency, candidate engagement, and scheduling workflows.
  • Exercise sound judgment in identifying when to escalate trade-offs, whether a scheduling conflict, a candidate concern, or a process gap, and bring proposed solutions alongside the flag.
  • Build and maintain trusted relationships with stakeholders at all levels, from our Executive Assistant team and interviewers to senior engineering and product leaders.
  • Contribute to employer branding efforts and recruiting operations as needed, and bring a continuous improvement mindset to everything you touch.

What you will bring:

Required Skills:

  • 2+ years of experience in a recruiting coordination or talent operations role, with demonstrated ability to manage high-volume scheduling in a fast-paced environment.
  • 1+ years active sourcing experience: you have directly built Boolean searches, used LinkedIn Recruiter or comparable sourcing tools, and engaged passive candidates.
  • Hands-on experience with ATS (Greenhouse preferred), including requisition management, interview plan setup, candidate stage tracking, and reporting.
  • Proven ability to manage complex, multi-stakeholder calendars and surface creative solutions to scheduling constraints in a collaborative process.
  • Clear, professional written and verbal communication skills, with the ability to adapt your style across audiences, from candidates to executives.
  • Strong organizational skills with meticulous attention to detail and a demonstrated ability to manage competing priorities.
  • Comfort navigating ambiguity and knowing when to escalate for guidance.
  • A genuine passion for candidate experience: you think about every touchpoint and advocate for the candidate even when no one is watching.

Preferred Skills:

  • Experience building or contributing to structured sourcing campaigns, including outreach sequencing, message testing, and performance tracking.
  • Familiarity with AI-powered sourcing or scheduling tools and genuine curiosity about how automation can improve recruiting workflows.
  • Experience supporting Technical recruiting (Engineering, Product, Data) and comfort with the nuances of sourcing in competitive tech talent markets.
  • Demonstrated Greenhouse expertise
