Virtual Assistant - Project Manager / Traffic Manager | Part-time | Remote | Working US Timezone

About the position

We're looking for a sharp, detail-obsessed Virtual Assistant to step into a Project Manager / Traffic Manager role for a growing marketing agency. This isn't a \"check your inbox and respond to emails\" kind of position — it's a real seat at the table. You'll be the person who keeps everything moving, makes sure nothing falls through the cracks, and turns client requests into clear, actionable tasks. If you thrive in fast-paced environments, love a clean Asana board, and get a little too excited about a well-organized workflow, you might be exactly who we're looking for.

Responsibilities

  • Owning Asana — tracking project progress, keeping timelines tight, and anticipating needs before they become problems
  • Converting client requests into clearly defined tasks and assigning them to the right people
  • Building client reports (with a path toward pulling social data directly as you grow into the role)
  • Supporting CRM setup and management in Pipedrive
  • Helping craft and manage proposals using Proposalify
  • Acting as the connective tissue between clients, deliverables, and the team

Requirements

  • Minimum 3 years of marketing agency experience — you understand how agencies operate and you've lived the pace
  • C1/C2 English proficiency — you communicate confidently and professionally, both in writing and verbally
  • Based in Cebu, Manila, or Davao — we're specifically looking for candidates in these cities
  • Available during US daytime hours (Michigan time) — this is a hard requirement; overlap and responsiveness matter
  • Someone who is genuinely Type A — you notice the details others miss, you follow through, and you take ownership
  • A creative eye for copy — you can spot when something sounds off and you're not afraid to make it better
  • Someone who's ready to grow — this role has real full-time potential for the right person
